WhatsApp appointment reminders for dental clinics

Front desk staff spend part of every morning calling or texting patients one by one to remind them of tomorrow's appointments. Many calls go unanswered, notes live in a paper diary or a spreadsheet, and when a patient does not turn up the chair sits empty because there was no time to offer the slot to someone else.

  2. 02Check consent before sendingOnly patients who agreed to WhatsApp reminders at registration are messaged. Everyone else gets an SMS or stays on the call list, and anyone can reply STOP to opt out.

  5. 05Offer freed slots to the waiting listWhen a patient asks to reschedule, the slot is offered by message to patients on the waiting list, first come first served, and the booking is updated once someone accepts.
  6. 06Send a weekly summaryEvery Monday the clinic owner receives a short report of confirmed, rescheduled and missed appointments, to spot patterns by day or by dentist.

Yes, for automatic reminders sent from a system. The free WhatsApp Business app is run by hand from a phone. The Platform is a paid Meta service, and reminder templates need Meta's approval before use.

They receive an SMS instead, or stay on the front desk call list. The dashboard shows which channel each patient prefers.

Reminders carry only the appointment time, the clinic name and the address, never treatment details. Patient data stays in the clinic's own system, and access is limited to staff who need it.

Every reminder explains how to opt out. A reply of STOP removes the patient from WhatsApp reminders at once, and the change is recorded.
