How much does a POS system cost in Malaysia?

By Pali (Wan Muhamad Fadzli), product builder, Penang.

In Malaysia, a custom POS that sits inside an ERP starts with the RM 3,600 core plus the RM 900 POS module. A focused standalone POS is priced by scope because devices, offline use, outlets, inventory, payments and integrations change the build. Compare packaged products first, then use the calculator and Discovery Sprint for a fixed quote.

What does each type of POS system cost?

The right pricing route depends on whether a standard product fits, the POS needs its own tailored workflow, or counter sales must sit inside a broader ERP.

POS option Best when Price approach Starting timeline
Packaged POS subscription Standard checkout, products, stock and reports already fit your operation Provider subscription, setup and hardware Set by the provider
Focused custom POS Outlets, permissions, offline use or integrations need a tailored workflow Priced by scope Confirmed after discovery
POS inside a custom ERP Counter sales must share inventory, customers, purchasing or accounting data ERP core RM 3,600, plus POS module RM 900 About 6 weeks for the core, plus module scope

A packaged system is the practical first comparison for most businesses. Custom work makes sense only when the workflow, ownership or connections create a real gap that the available products cannot close.

What changes the cost of a POS system?

  • Outlets and registers. More locations, tills, shifts and permissions add setup, synchronisation and testing.
  • Products and stock. Variants, bundles, modifiers, batches, transfers, stock counts and returns add workflow rules.
  • Offline use. Selling without internet needs local storage, conflict handling and careful synchronisation.
  • Hardware. Printers, drawers, scanners, customer displays and payment terminals must be compatible with the chosen devices.
  • Payments and integrations. Payment providers, accounting, e-invoice, loyalty, delivery and marketplace connections are priced by scope.
  • Data migration. Importing products, customers, balances and sales history is priced after the source data is reviewed.
  • Languages and design. English and Bahasa Malaysia together add 15%; custom design adds 20%.
  • Timeline. Delivery faster than the normal plan adds 25%.

Should I subscribe to a packaged POS or build a custom one?

Choose a packaged POS when its checkout, stock, reports and device support already match how the business operates. You can start sooner, test the workflow with staff and compare its subscription and hardware terms directly.

Consider a custom POS when:

  • sales rules differ by outlet, customer type or channel;
  • the business needs a specific offline workflow;
  • prices, stock or approvals depend on rules a packaged product cannot model;
  • counter sales must update another internal system immediately;
  • you need control of the code, database and hosting accounts.

If POS is one module in a connected operations system, read the ERP cost guide. For a focused application, compare the wider factors in the app development cost guide.

What hardware and third-party costs should I plan for?

Plan separately for tablets or computers, printers, cash drawers, barcode scanners, payment terminals, networking and any provider subscriptions. These stay on accounts you own and are paid by you at cost where possible.

Confirm device models before the build begins. Browser support, printer connections and payment-terminal behaviour can change the technical approach, especially when the POS must work offline or across several outlets.

What does a custom POS cost after launch?

Every project includes a free 30-day launch warranty for bugs in the delivered scope. Hosting, databases, messaging, payment services and hardware support are separate operating costs.

Maintain at RM 450 a month covers monitoring, updates and fixes after the warranty. Develop at RM 900 a month covers ongoing feature work when outlets, products, reports or integrations change.

How long does a custom POS take to build?

An ERP core takes about 6 weeks before added module scope. A standalone POS is timed after discovery because offline behaviour, devices, stock rules, data migration and integrations can change the plan substantially. Working milestone demos let staff test real checkout and return flows before launch.

How do I get an accurate POS system quote?

  1. Compare packaged products against your checkout, stock, outlet, device and reporting requirements.
  2. Open the POS cost calculator for a custom ERP route and an initial range.
  3. Book the one-week Discovery Sprint (RM 300) to map devices, offline behaviour, data, payments and integrations.
  4. Build in milestones after the scope and fixed quote are agreed.

See how fixed-scope app development works, then compare packaged, product and custom routes on the POS system page.

Frequently asked questions

No. Receipt printers, cash drawers, barcode scanners, payment terminals and other devices are bought by you at cost. Compatibility and setup are confirmed before development so the software fits the equipment you plan to use.

It can, but offline selling and later synchronisation must be designed and tested as part of the scope. A simple cloud-only POS is easier to build. Stores with unreliable connections should make offline behaviour a core requirement from the start.

Yes. A POS can connect sales to stock, accounting and e-invoice workflows. The exact fields, timing, error handling and ownership of each connected account are mapped during the Discovery Sprint and priced by scope.

You do, once each milestone is paid. The repository, database and hosting accounts are set up in your name so your business keeps control of its data and another developer can take over later.

No. It gives a range of plus or minus 15%. The fixed quote follows the one-week Discovery Sprint, once outlets, devices, products, stock rules, payments, reports and integrations are written down.

Pali is not the right fit when a packaged POS already supports your checkout, stock and reporting workflow. That route is usually faster to start and avoids paying to rebuild standard counter-sale features.
